10.) Administration Head
Job Title: Administration Head

Job Role
- Serves as a member of the organization’s key administrative decision-making and planning body.
- Contributing in the formulation, development and improvement of mills/plant administration related policies and standard operating procedures
- Implementing and controlling these SOPs, communicating, overseeing and ensuring compliance and consistency with all the corporate practices/ policies/ procedures, adherence to all the related and applicable state laws, arranging inspections of and coordinating with labor department / Govt departments.
- Making certain that all administrative systems and processes at mills/plant are highly reliable, finely tuned and well delivered with an aim towards pro-action rather than reaction;
- Ensuring effective management of company residential colony affairs regarding allocation of facilities, housekeeping and security etc.
- Facilitate concerned departments to ensure uninterrupted availability of all utilities including Water, Food, Electricity etc. at residential colony
- Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
- Recruit and train personnel and allocate responsibilities and office space.
- Assess staff performance and provide coaching and guidance to ensure maximum efficiency
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations
- Monitor costs and expenses to assist in budget preparation
- Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
- Ensure operations adhere to policies and regulations
- Keep abreast with all organizational changes and business developments
- Develop a feedback mechanism and grievance redressal cell to hear and resolve employee’s concerns with respect to administrative issues (residential, fleet and office space).
- Plan and estimate the requirement of physical resources like fleet, office space, residential accommodation and prepare the budget and secure approval from the Management.
- Acquire the resources once approved within the TAT.
- Visit company owned assets and ensure adequate safety and security mechanisms are deployed.
- Maintain relevant MIS for asset allocation, disbursement, disposal and maintenance.
- Investigate untoward incidents / thefts and take corrective action in coordination with HR / Management.
Skills Required
- Proven experience as administration head.
- In-depth understanding of office management procedures and departmental and legal policies
- Familiarity with financial and facilities management principles
- Proficient in MS Office
- An analytical mind with problem-solving skills
- Excellent organizational and multitasking abilities
- A team player with leadership skills
Other requirements:
- Should have Nigeria territorial and geographical knowledge (Nigeria experience is a must).
- Ability to forecast incidents like riots based on information received from authorized sources and caution the employees well in advance.
