1.) Customer Support Officer / Admin Assistant

Responsibilities

- Manage filing of documents
- Collate and distribute mail
- Prepare communications, such as memos, emails, invoices, reports, and other correspondence
- Attend to visitors, guests, or employees from several departments on key issues
- Screening phone calls and routing callers to the appropriate party.

2.) Lead Facility Manager
Location: Kano
Job Description
- Conduct periodic unannounced property inspections on weekends, nights, and early mornings to determine the performance of key service providers, i.e. janitorial service, landscaping, security, technician/handyman services, etc.
- MBWA - Manage by walking around.
- Involvement and input are required with the Portfolio Manager for the selection of service providers.
- Assure full compliance of all service providers with property specifications and standards.
- Ensuring all utility systems are inspected and in accordance with regulations
- Negotiating bids and contracts for third-party workers
- Coordinating building security and maintenance services
- Responsible for daily inspection and supervising preventive maintenance plans
- Oversee the correction of maintenance issues that relate to the interior space and exterior of the building, as applicable
- Manage property to identify, prevent, address, and eliminate all environmental, health, and safety issues.
- Conduct regular periodic fire and life safety inspections.
- Provide records destruction services as needed to protect proprietary information.
- Monitor utility usage and make adjustments in usage patterns to minimize costs
- Provide project management services for small projects as directed by management. Additionally, the Facility Manager is involved and serves as a resource for all interior planning, furniture reconfiguration, and internal moves of the clients.
- Conduct periodic property reviews to prepare and maintain plans for handling major storms, security risks, and other extraordinary events.
- Maintain a liaison relationship with Landlords or Landlord Representatives.
- Review and understand Leases.
- Produce monthly reports, including an operations summary of completed and planned operations activity.
- Assist Project Management and Engineering, Design and Construction personnel – Protect the property.
- Provide for the provisioning of administrative / office services as needed by client occupant organizations
Qualifications
- B.Eng. in Mechanical Engineering or any other Engineering field.
- 5 - 7 years of experience as a Facility Manager.
- Ideal candidate must be resident in Kano.
- Proven experience working in a Facility Management organisation.
- Strong technical background.
- Experienced at compiling and following strict budgets.
- Accurate and precise attention to detail.
- Knowledge of basic accounting and finance principles.
- Good Reporting skills.
- Relevant professional qualifications e.g. IFM, PFM, IFMA, etc. will be an advantage.
- Sound communications skills both written and verbal.

3.) Driver
Location: Lagos

Responsibilities
- Keep assigned vehicle clean.
- Transport products, materials, and staff securely to areas where they are needed.
- Guarantee that products and staff are protected and secured.
- Answer clients inquiries as brilliantly as could be allowed.
- Ensure timely conveyance of staff and materials to and from places as instructed by supervisor or the manager.
- Ensure that vehicles are kept perfect and clean at all times by washing both the inside and outside parts of the vehicle.
- Carry out routine checks on vehicles and ensure they are sound.
- Report any instance of mishap or accident.

4.) Facility Operations Manager
Location: Lagos
Job Description

5.) Bids & Proposal Manager

Job Description
- To work as a part of the Business development team in identifying viable opportunities towards prospecting same and moving leads from prospect to qualified status and eventual conversion.
- Update of CRM (Sales Pipeliner) database for projects, prospects and leads.
- To study ITT documents and have a thorough understanding of the ITT requirements from the invitation documents.
- Participate in the development and review of proposal strategies and processes.
- Assist in analyzing the RFP/bid requirements against the proposal outline to ensure both compliance and responsiveness to the customer’s issues and needs.
- Re-write/edit proposal responses from a variety of stakeholders, typically involving contributions from sales, marketing, product teams, finance, commercial, legal, and operations.
- To store a soft and hard copy of all the documents forwarded in response to any request is kept in a manner that will be easily accessible, understood, and retrieved if required.
- Ensures implementation of procedures and that records are maintained and kept in a satisfactory manner.
- Compilation of existing documents as requested from the ITT documents, creation of requested documents, packaging, and final submission of the proposal.
- Prints invitation documents for review and stores same appropriately.
- To update information on invitations received on the Bid Board
- Identify and close out required action points within stated time frames.
- Compilation and classification of Input from company departments and subcontractors.
- Manage the bid preparation process to ensure customer needs are identified and a winning approach is adopted.
- Produce the quality/technical documentation, in accordance with the clients’ requirements, and to a standard that results in as high a quality evaluation mark as possible.
- Carry out Facility Inspection, gather required data, and enter information into the FIDS.
- Communicate to the third party via e-mail and follow up to receive input.
- Ensures printing, uploading, or writing into a storage device, and packaging for submission as directed in the ITT document for submission to the client.
- Update the contact and tracking sheet and the Bid Board as the submission is closed.
- Follow up with client contact person on the submitted proposal either through e-mail or phone call till confirmation of contract award and signing off contract documents.
- Liaise with company departments on contract award and transition plan including Operations, QAHSES, Credit Control, HR, Contracts & procurement, and a transition manager from the Technical department.
- Execute other assignments as directed by the team lead, Bids & Proposal
Qualifications
- Bachelor's Degree in Engineering, Construction, Building, or another relevant discipline.
- Minimum of 6 cognate bid proposal experience in a facility management environment
- Experience in crafting and preparing a bid
- Candidate must have worked in a facility management company
- Superb written and verbal communication skills.
- Self-motivated and thorough understanding of winning strategies.
- Ability to gather, organize, interpret, and collate data from multiple sources.
- Deadline-driven and committed to excellence.
- Extremely proficient in a variety of office tools including Word, Excel, Visio, etc.
