1.) Administrative and Travel Assistant

Organizational Setting

  • The main aim of the FAO country office, which is headed by the FAO Representative, is to assist government of Nigeria to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.
  • This position is located in the country office, Abuja to support the smooth operations of travels and logistics of the country office in order to timely and efficiently respond to the needs of the programme and projects.

Reporting Lines:

  • The Admin and Logistics Assistant reports directly to the Assistant FAO Representative, Administration and also maintain close collaborations with  programme, operations and administration teams in FAO Representation for smooth service delivery in order to meet the objectives of the organization.




Technical Focus

  •  Provides administrative and logistics support to the country office and projects in the Representation.

Tasks and Responsibilities
Under the overall supervision of the FAO Representative (FAOR) and direct supervision of the Assistant FAOR (Admin), the incumbent will perform following duties and responsibilities:

  • Provide day to day logistic support as requested to ensure smooth operation of the work at the office of the FAOR;
  • Provide support to arrange international and local official travel of relevant parties, which include transportation arrangement, hotel reservations, Travel Authorization, security clearances and other documentations;
  • Support the process of clearing pouch bags from FAO HQ, Regional Office, Sub-regional office, other Country offices etc. and support the processing of customs clearances for same when required;
  • Provide support to the issuance and regularization of Visa at the relevant Government offices
  • Provide logistics support to organization of meetings and events held in the country, including the provision of meeting facilities, equipment, catering, making travel arrangements, coordinating logistics, preparing correspondence and assembling documents for participants.
  • Maintain up-to-date and accurate records as it pertains to the office of the FAOR.
  • Upload back-to-office-report (BTOR) and Meeting Reports in the Shared Drive
  • Support Project activities.
  • Backstops for the Office Associate during period of absence.
  • Manage the calendars of the FAO Representative and Assistant FAO Representatives; schedule appointments; brief the supervisor/s on matters before meetings and missions.
  • Assist with protocol liaison activities with the Host Government.
  • Carry out administrative functions to support the activities of the FAO Representation.
  • Take minutes at internal and/or official meetings.
  • Undertake any other tasks assigned by the Supervisor within the assigned area of responsibility.

Minimum Requirements

  • University Degree in Social Sciences, Administration, or a relevant field preferred.
  • Minimum of 2 years of practical experience in general administration/office operational activities, and progressively responsible experience in operations works.
  • Good computer skills and proficiency in English language is required.
  • Nationality of Nigeria or resident in the country with a regular work permit.

2.) Driver

Organizational Setting

  • The consultant will contribute to the implementation of ECTAD West and Central Africa programmes, currently consisting of the following component:
  • Emerging Pandemic Threats (EPT-2)/Global Health Security Agenda (GHSA): The United States Agency for International Development (USAID), under the EPT-2/GHSA Programme, has granted  funding to FAO to support Africa to address the problem of emerging and re-emerging high impact zoonoses. The FAO’s EPT-2/GHSA Programme is a global programme with  components in  Africa, Asia and the Near East. In Africa, the programme which was recently renamed “Supporting the Global Health Security Agenda (GHSA) to address Zoonotic Disease and Animal Health in Africa” includes the following key components:
  • Assist 14 countries in West, Central and East Africa to implement the Global Health Security Agenda in
  • Assist 11 countries in West and Central Africa in wmergency H5N1 HPAI prevention and control;
  • Assist 6 countries in West, East and North Africa, through the so-called Africa Sustainable Livestock 2050 Project (ASL2050), to design  policies to decrease health threats and potential negative environmental impacts of anticipated unregulated growth of the livestock sector .
  • Under the GHSA component, FAO will focus on developing capacity around supporting the GHSA 1 country-prioritized priority zoonoses. Although FAO work contributes to all action packages, FAO support will focus on 4 GHSA action packages including Zoonotic diseases, Biosafety & Biosecurity, Laboratory mainly relating to zoonotic diseases, and Workforce Development.

Reporting Lines:

  • The Driver reports directly to the ECTAD Team Leader and Assistant FAO Representative, Administration and also maintain close collaborations with ECTAD,  programme, operations and administration teams in FAO Representation for smooth service delivery in order to meet the objectives of the organization.




Technical Focus:

  • Provides driving supports to ECTAD project in country and other projects in the Representation.

Tasks and Responsibilities
Under the overall supervision of the FAO Representative and the direct supervision of the ECTAD Team Lead and Assistant FAOR (Admin), the incumbent will perform following duties and responsibilities:

  • Drive the ECTAD staff and their official visitors on official trips, and drive for the FAO Representative and his/her visitors on occasions as necessary;
  • Meet staff and official visitors at the airport; facilitate immigration, customs formalities, hotel check-in and other local formalities;
  • Log official trips, daily mileage, gas consumption, transportation/vehicle related expenditures, vehicle servicing, repairs etc;
  • Ensure day to day maintenance of the assigned vehicles(s) check oils, water, battery, tires etc; perform minor repairs and timely arrange for any other repairs necessary to keep the vehicles safe and technically sound at all times; maintain the vehicle(s) in clean conditions;
  • Handle local and organizational formalities when involved in an accident; ensure that in this case all organizational and local/country rules, regulations and procedures are followed correctly;
  • Collect and deliver mail, documents, pouches, and other communications/items from and to ECTAD and the country office; go to the post office, airport, government agencies, other UN agencies, institutions, project sites etc; to take and deliver items and communication; keep records as required;
  • When needed, assist the ECTAD and country office staff in performing simple clerical duties such as making and answering telephone calls, making photocopies, keeping records etc.
  • Perform other related duties as required.

Minimum Requirements

  • Secondary School Education, Possession of valid driver’s license.
  • 2 years of work experience as a driver.  Flawless, safe driving record.
  • Proficiency in English language is required.
  • Nationality of Nigeria.

Organizational Setting

  • The Food and Agriculture Organization of the United Nations (FAO) contributes to the achievement of the 2030 Agenda through FAO's Strategic Framework by supporting the transformation to more efficient, inclusive, resilient and sustainable agri-food systems, for better production (BP), better nutrition (BN), a better environment (BE), and a better life (BL), leaving no one behind.
  • The Fisheries and Aquaculture Division (NFI) is responsible for the economic, social, institutional, governance and policy aspects of FAO's activities related to fisheries and aquaculture and their development, with particular emphasis on human well-being, food security and poverty reduction; post-harvest utilization, marketing and trade with due regard to the protection of the environment, food security and the well-being of fishery communities; collection, compilation, validation, trend analysis and dissemination of the best available and up-to-date fishery statistics and for the syndication of the FAO information on all aspects of world fisheries and aquaculture.
  • The Division is also responsible for FAO's activities related to the management and conservation of the living aquatic resources used by fisheries and aquaculture, including the biodiversity and ecosystem maintenance, with particular emphasis on the most vulnerable and threatened species and habitats; management of responsible fisheries and aquaculture in accordance with management standards and best practices; development of fisheries technology, with due regard to the protection of the environment, food security and the well-being of fishing communities, including the safety of fishers and fishing vessels.
  • The FISH4ACP project (“Sustainable development of fisheries and aquaculture value chains in Africa, Caribbean and Pacific (ACP) countries”) is a five-year project led by the Organisation of the African, Caribbean and Pacific States (OACPS) and funded by the European Union and the German Federal Ministry for Economic Cooperation and Development.
  • FISH4ACP aims at improving the sustainability of fisheries and aquaculture value chains through five main components/specific objectives: i) Robust fisheries and aquaculture improvement strategies are developed and agreed with stakeholders; ii) Economic performance of micro, small and medium enterprises (MSMEs) in selected value chains is improved; iii) Inclusiveness and the social sustainability of selected value chains are improved; iv) The environmental sustainability of selected value chains is enhanced; and v) MSMEs in selected value chains have access to additional sources of finance and investment.

Reporting Lines

  • The National Operations Specialist directly reports to the National Professional Officer for FISH4ACP and also maintain close collaborations with  programme, operations and administration teams in FAO Representation for smooth service delivery in order to meet the objectives of the organization

Technical Focus:

  • Provides operational supports to FISH4ACP project in country and other projects in the Representation.




Tasks and responsibilities
Under the overall supervision of the FAO Representative, and direct supervision of the National Professional Officer, FISH4ACP, the incumbent will perform the following duties and responsibilities:

  • Prepare FISH4ACP project reports, make inputs to technical documents and aid in sharing for increased visibility.
  • Support FAO knowledge sharing and capacity development initiatives in FAO technical areas including preparation of training and workshop material.
  • Monitor project activities and ensure adherence to FAO country programme budget and conformance with UN standards and regulations.
  • Develop and aid strategic planning and implementation of the FISH4ACP project to strengthen resilience of people of concern in Nigeria
  • Retrieve,  enter,  select  and  analyse data  from a wide  variety of  sources,  including FAO’s  corporate  systems  and  data bases; verify accuracy of data documents; make necessary calculations.
  • Assist to organize and handle day-to-day operational activities of the FISH4ACP and FAO Nigeria. This entails providing support in all aspects of project cycle management, i.e. project identification, formulation, appraisal and approval, implementation and monitoring, reporting and closure
  • Monitor budgets, support field budget authorization preparation, reconcile expenditures and other data and assist in the preparation of reports.
  • Examine and process a variety of payments/reimbursements/disbursements of various payments.
  • Assist in preparing Letter of Agreements (LoAs) and subsequent financial monitoring and payments processing of the LoAs.
  • Participate in country missions as necessary and provide technical assistance in monitoring/impact assessment;
  • Liaise with Government (at national and sub-national level) and other relevant partners to map gaps in national policies relating to fisheries and aquaculture.
  • Prepare technical content for working papers, advocacy materials, web pages, articles, invitation letters and information material for technical networks, workshops, conferences and other outreach events; present on FAO work as required;
  • In collaboration with technical experts, develop/update quantitative and qualitative tools and resources required to implement strategy at country level.
  • Performs other related duties as required.

Minimum Requirements

  • University Degree in Business Administration, Finance, Accounting, or a relevant field preferred.
  • Minimum 2 years of practical experience in project/office operational activities, and progressively responsible experience in operations works.
  • Working knowledge of English.
  • National of Nigeria.
