1.) Board Liaison Advisor

 

Location: Abuja
Responsible To: Director, Organisational Effectiveness
Grade: 7

Job Purpose

  • The Board Liaison Advisor who reports to the Director, Organisational Effectiveness will be responsible for coordination of the Governance function, maintaining an interface between the Board and General Assembly members of ActionAid Nigeria (AAN) and the International Governance Unit (IGU); as well as review Memorandum of Understandings (MOUs) within ActionAid Nigeria.
  • S/he will also be responsible for coordinating internal procurement processes as well as documentations whilst working with the Procurement committee.

Specific Responsibilities

  • Ensure quality record of Board meetings by taking the minutes
  • Provide support to Sub-committees
  • Preparation of Communications and Documents to Board members:
    • Support in the development of any presentations required
    • Ensure that all papers to the Board are sent out in due time
    • Collate Board incidental communications between Board meetings to keep Board Members abreast with the key organisation happenings and events.
  • Coordinate AAN Governance and staff induction and orientation processes
  • Coordinate all field visits of Board and GA members to AAN project sites
  • Support with linkage to AAI Board of Trustees:
    • Prepare affiliate update that goes to Board of Trustees
    • Ensure that all logistics arrangements are made for Board Chair to attend Trustees meeting.
    • Ensure that Board Chair/relevant representative attending the International Board meeting gets all Board papers sent from the International Secretariat.
    • Provide whatever information required by the AAI Governance unit and the International Secretariat
  • Coordinate proper documentation and filing of all AAN Statutory documents with relevant government agencies
  • Coordinate the process of General Assembly (GA) member recruitments and selection ensuring that all organizational equal opportunity parameters are considered
  • Act in an advisory capacity to all members of the governance body especially new members to facilitate their ability to perform effectively.
  • Act as an information hub between AAN Management and the Governance Body.
  • Provide support on secretarial duties
  • Support with the review of all organizational legal documents that require Country Director’s signature.
  • Support with the review of all Partnership agreements.
  • Events Management: Provide logistics for workshops, seminars, meetings, by providing
  • materials to support the event through ensuring that stationeries, hotel reservation, workshop materials, meeting packs, booking venues, meals are provided in time. Ensure timely and proper communication for all events
  • Facilitate the financial processes for consultancies and other programme events with the support of the Finance Department.
  • Produce budgets for events
  • Coordinate internal procurement processes:
    • Work with a 7-member procurement committee and a Volunteer, while reporting to the Procurement Committee Chairperson
    • Act as secretary to the Procurement Committee
    • Responsible for reporting and documentation
    • Ensure an updated service provider database
    • Ensure the committee actions are in line with the Procurement policy manual.

Education Qualification:

2.) Personal Assistant to Country Director

 

Location: Abuja
Responsible To: Country Director
Grade: 7

Overall Purpose

  • The PA to the CD who reports directly to the Country Director will be responsible for the management and administration of the Country Director’s Office.
  • S/he will support in ensuring that ActionAid Nigeria (AAN) policies and procedures - in collaboration with the other members of the team and the affiliate (AAN) – are fully complied with.
  • S/he will also manage physical and electronic documents for the affiliate by maintaining documentation, filing systems and contact database.

Key Duties
Programme:

  • Planning and organizing of all activities, workshops and seminars that relate to the office of the Country Director.
  • Taking minutes of all strategic meetings involving the Country Director’s Office.
  • Representing - when necessary, the CD at fora relating to the progress, advocacy and show-casing of AAN’s work in Nigeria.
  • Act as a liaison person with programme and other relevant units on administrative issues as it relates to the CD’s Office.
  • Development and management of the Information Systems at the affiliate for the CD’s office.
  • Produce and contribute to programme/event reporting.

Finance:

  • Facilitate the financial processes for consultancies and other programme events’ with the support of the Finance Department as it relates to the CD’s Office.
  • Produce budgets for events and assist in the development of the programme’s budgets and plans by working closely with the HROE and Finance units.

General:

  • Develop and oversee the implementation of an appropriate and user-friendly Records Management system and ensure files are up to date.
  • Administer programme and other internal meetings; and follow up with staff and other stakeholders on relevant issues and action points.

3.) Finance Officer (x2)

 Job Purpose

  • The post holder will ensure maintenance of adequate financial integrity in supporting quality and timely data input for generation of financial reports, review and analyze accounting ledgers.
  • S/he will also contribute to strengthening the internal control and accounting systems of ActionAid Nigeria and partner organizations.

Specific Responsibilities

  • Assist in the preparation of financial reports as required by the project
  • Attend to project specific internal/external audit
  • Work with the Head of Finance on the financial planning processes of the long term (three-year planning) and short term (annual budgeting) plans that feed into the National Plans.
  • Work with other members of the project team in planning and forecasting
  • Follow through ActionAid Nigeria’s communication procedures with donor and implementing partners
  • Strictly adhere to AA Nigeria policies and procedures and observance with agreement or donor Memorandum of Understanding (MoU)

4.) Project Advisor, (En-Logic)

Job Purpose

  • The post holder in collaboration with the Governance Manager will develop, implement, manage and report on enhancing logistics delivery and citizens participation in Nigeria elections project, and ensure adequate engagements with relevant stakeholders, mobilization and participation of National organizations as well as support in undertaking effective and appropriate documentation and shared learning systems, that will collectively contribute to improved programme quality and impact towards realization of the programme objectives.

Specific Responsibilities
Programme

  • With support from the Manager, Governance; develop, implement and monitor quarterly, monthly and weekly activity plans including budget and procurement to achieve expected results.
  • Provide policy, technical and operational advice on assuaging the challenges identified in the logistics deployment of election materials for electionadministration.
  • Support national and state level actors (INEC) on the development of innovative approaches towards the early transportation of sensitive and non-sensitive election materials to polling units on election day.
  • Support in collaboration with other partners in the field, the maintenance of an efficient M&E system that tracks programme performance and allows for easy retrieval of information.
  • Implement on timely basis, agreed activities but also taking advantage of unplanned activities that may come up.
  • Undertake such activities as to promote healthy relationship among stakeholders of ‘En-logic’ on elections.
  • Undertake such activities that will promote and contribute to the improvement and strengthening of election administration and deployment processes in Nigeria
  • Support in planning and capacity building training workshops on election logistics for all stakeholders and partners alike.
  • Establish and maintain contacts with relevant government officials, INEC, SIEC, non-governmental organizations, media, etc.; Ensure appropriate mechanisms to facilitate collaboration and exchange of information that would further AAN’s work

  • The post holder will enhance the capacities of partners, Activista, youth groups in policy influencing, advocacy and use of digital platforms in their interventions and programming for sustained change.
  • The Inspirator will be based with partner in any of the implementing states - Lagos, Kano, Enugu, Akwa Ibom, FCT-Abuja or Borno State.

Person Specifications
Education / Qualifications:

  • First Degree in other Social Sciences or Arts / Humanities is essential
  • Membership of relevant professional Institute is desirable

Experience:

  • At least three years post NYSC experience one of which should be in youth related programme in the development sector is essential
  • Experience working with youth and youth groups is essential
  • Experience in conducting digital campaigns, preferably in a development context is essential
  • Knowledge of and experience in developing effective campaigns is essential
  • Ability to provide capacity building and support to people with diverse backgrounds and different degrees of digital expertise is essential

6.) Digital Communications Officer

Job Purpose

  • The Digital Communications Officer will be responsible for assigned communications roles including supporting the execution of the project’s communications strategy and social media strategy.
  • The job holder will support the development of contents for project communications for newsletter, publications, and Websites.
  • Managing projects prioritised social media contents - including Facebook, Twitter, Instagram, Youtube and LinkedIn.
  • S/he will liaise with the Programme Advisor in providing hands on technical support to young people and Activista in advocacy using digital platforms to reach wider coverage

Specific Responsibilities

  • Facilitate and ensure delivery of communications requests from SPA II project within specified timeline
  • Develop and implement innovative and effective communication and media strategies for the project
  • Develop the project communication contents for use on publications, newsletter, and press
  • Provide support for youth engagement with use of technology in holding duty bearers to account
  • Responsible for quality assurance of documentation and publishing of all SPA II project publications in liaison with AAN Communications unit
  • Support project partners in media and communications related capacity building and ensuring that this is integrated within their programming
  • Support content development for AAN policy influencing, website and other social media platform.
  • Oversee production of digital and multimedia communications content to promote AAN’s brand, particularly the SPA II project.
  • Liaise and work with the Programme Advisor to identify advocacy and communications issues related to the project
  • Ensure adequate media coverage for all project activities, events, media advisory, press releases/press statements
  • Assist project teams in uploading content and managing training/events calendar.
  • Support in the development of project success stories and case studies

Education / Qualifications

  • First Degree in Communications, Social Sciences or Arts / Humanities is essential

Experience:

  • At least 3 years work experience, 2 of which should be in communication field in the development sector is essential
  • Website development and digital communications experience is essential
  • Capacity building experience including training and facilitating is essential
  • Experience working with the media is desirable
  • Familiarity with popular media sector and previous relationship with same is desirable
  • Experience in digital campaigning and youth mobilization is desirable
