1.) Accountant - WRP Nigeria

Job Title: Accountant - WRP Nigeria

Job Description

  • We are seeking an Accountant. This position will be responsible for interactions with Nigerian Ministry of Defense (NMOD) participants, Health Implementation Program (HIP) training officers, Program staff, sub-contractors, and Civil Society Organizations (CSOs), etc.

Responsibilities

  • Collaborate with program management and finance team to establish a budget for participant payments.
  • Monitor and manage budget allocations for training stipends or compensation.
  • Collect and maintain participant information, including contact details, payment preferences, and tax-related data.
  • Ensure the completion of necessary paperwork by participants, such as participants or payment agreements, agenda, and attendance list.Process payment for participants based on the program's payment structure (e.g., rates, stipends).
  • Process payments for participants based on the program's payment structure (e.g., rates, stipends).
  • Set up and execute efficient payment process, including direct deposits, checks, or other payment methods.
  • Initiate electronic payment, and update ORACLE with vendor check payment.
  • Process payment for training/ meeting associated expenses- hotel, flight, and catering services.
  • Maintain comprehensive records of all participant payments, including dates, amounts, and payment methods, other related expenses.
  • Ensure all records adhere to organizational financial policies and regulatory requirements.
  • Submit Disbursement form to Account Payable workflow.
  • Obtain approvals and authorizations for payment disbursements from appropriate authorities within the organization.
  • Establish and adhere to a consistent payment schedule, ensuring payments are executed timely according to  program policies.
  • Communicate payment details, schedules, and any changes to program participants timely.
  • Provide participants with payment receipts or statements as requested.
  • Ensure compliance of applicable regulations, and organizational financial policies related to payments and compensation of participants.
  • Adhere to procedures for program advances to Clinical Research Center (CRC) and Adolesent Operation Tripple Zero club (OTZ) sites activities.
  • Prepare expense report, reconcile advances with receipts in a timely manner.
  • Communicate any discrepancies to Finance Director and cash custodians at sites.
  • Ensure transactions are posted to Account Payable and Perceptive Concept, and subsequently posted to the bank for payment..

Job Description

  • We are seeking a Senior Financial Accountant.
  • This position is responsible for processing a large volume of purchase order payments, withholding tax compliance, and the administration of site study advances and liquidations.
  • This position will play a pivotal role in ensuring timely financial transactions related to procurement, taxation, and research funding in compliance with relevant laws and regulations.

Responsibilities

  • Collaborate with procurement and relevant departments to ensure the Purchase Order (PO) payment processing is executed.
  • Verify POs in compliance with HJFMRI Ltd/Gte policies and budgetary.
  • Validate invoices with approved POs and receiving documentation.
  • Resolve discrepancies promptly to prevent payment delays.

  • We are seeking a Communications Officer. This position will plan, manage and implement internal and external communication projects to promote HJFMRI Ltd Gte infectious diseases research and PEPFAR activities in Nigeria.
  • Focus on drafting and designing content for web, social media and print products for internal and external audiences, including stories/photographs, briefing books, itineraries, newsletters, factsheets, and press releases.
  • Facilitate and improve communication externally with key audiences and among employees and executive leadership.

Responsibilities

  • Plan, write, prepare and/or review communications materials for internal and external audiences, including briefing books, employee newsletters, press releases and articles to be used at post or for headquarters HJFMRI public websites, social media, and newsletters.

  • Participates in out-of-town events as required. Develop, socialize, and implement an annual communication and outreach strategy that promotes public awareness of and support for WRP-N programs among external audiences.
  • Serves as the liaison for executive team, providing collaborative guidance and advice on integrated communication strategies to build employee morale, productivity, retention, and policy compliance.
  • Communicates initiatives and deadlines to employees in a variety of print, digital, and interpersonal ways; tasks may include creating and publishing company newsletters, calendars, blogs and Intranet posts, and assisting with internal meetings.

Required Knowledge, Skills and Abilities

  • Excellent written and oral communication skills in English are essential. Strong people skills and ability to multi-task, and to produce quality narratives on short notice is required. Proven coordination and organizational skills within a fast-paced, multi-cultural work environment are also essential to this position.
  • Experience with global health, PEPFAR and/or medical research, is preferred. Ability to work independently and also build relationships internally to facilitate communication of program-specific information and news.
  • The ability to prioritize and manage competing requests, and to differentiate messages based on audience segmentation is also essential to this position.Able to convert technical language to be easily understood by lay persons. Must be able to consistently plan, prioritize and organize work in a way that produces strategic results.
  • Skills related to word processing are required, and familiarity or training in electronic mail, website development, Photoshop, PowerPoint, Canva and other publishing software is preferred.
  • Prior experience in a communications role required with leadership experience highly desired. Excellent organizational skills and Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software.
