1.) Accounting Officer

 

Job Title: Accounting Officer
Place of Work: Tema- Ghana

Partners, Finance interns and volunteers.

General Role Summary

The Finance Officer- Financial Accountant works in collaboration with other finance staff to support the Head of Finance and IT to ensure that GrowthAid operates within a healthy financial environment and meets all of its obligations and accountabilities on time. The position
holder will provide sound accounting and financial services based on accounting principles and organization policy to support the organization to achieve its strategic objectives. He/ She will be responsible for assisting the organization to implement efficient and diligent financial
practices.






Essential Job Accountabilities
Accounting

• Ensure that proper and reliable books of accounts are kept
• Ensure that prompt and accurate entries are made for all financial and technical transactions in the accounting (Sage/Sun, QuickBooks, etc) and technical (SICS) software.
• Maintain accurate and reliable financial and technical ledgers.
• Ensure that accurate and reliable fixed asset register and its associated depreciation charge is maintained.
• Prompt preparation of accurate Monthly and quarterly financial reports and submission of same to the Finance Controller for review.
• Ensure prompt preparation of all periodic donor reports for review.
• Ensure prompt payment for all approved expenses which must be in accordance with approved budget.
• Ensure payment vouchers journal vouchers, receipts and any other supporting documents that are necessary for carrying out financial and technical transactions are properly raise and filled
• Preparation of the company’s annual budget for review
• Any other duties that may be relevant to ensuring that proper and reliable financial and technical records are kept

Statutory And Regulatory Compliance

• Ensure that all relevant taxes, statutory and regulatory payments are promptly filed and paid to the appropriate authorities to avoid penalty
• Liase with the Finance Controller to ensure compliance with new and existing laws to avoid penalty.
• Liase with the Head of Finance and Finance Controller to ensure prompt conduct of the audit of the company
• Liase with external auditors to ensure prompt audit of the company financial statement
• Any other duty that may be relevant to statutory and regulatory compliance

Payroll

• Ensure prompt and accurate processing of monthly payroll for review
• Ensure all tax deductions, pensions and other relevant deductions are promptly paid to the appropriate authorities to avoid penalties.
• Ensure reliable register of staff loans and proper reconciliation between accounting and payroll software
• Ensure that all payroll entries are made in the accounting software and all reconciliations kept for the records.
• Ensure monthly payslips/advice for staff are promptly shared as required.
• Any other duty that may be relevant to performance of the payroll function.






Banking And Treasury

• Ensure prompt banking of all remittances
• Ensure prompt and accurate entries are made for all remittances in the appropriate software.
• Ensure all ledgers or accounts related to the banking are kept
• Ensure reliable bank reconciliation statements are prepared and submitted to Head Office for review
• Ensure all outstanding items on the bank reconciliations statement are promptly resolved.
• Ensure that company maintains reliable daily cash balance to avoid overdrawn and excess balances.
• Maintain a petty cash system that complies with the company’s policy.
• Any other duty that may be relevant to performing the role of banking and treasury function.

Teamwork and People Management

• Support the HoF to create and sustain a healthy finance team environment of mutual respect and accountability where team members strive to achieve excellence.
• Provide team members with capacity-building support, information, tools, and other resources to improve performance and achieve team/organizational objectives.
• Provide support to volunteers, interns and other staff as may be necessary.
• Maintain good communication and prevent, and/resolve conflicts among staff.
• Provide and facilitate a supportive environment for team members to learn and share ideas.

Business Development

• Provide business development support to Senior Management Team (SMT) as may be required.
• Support teams with relevant financial information to facilitate grant management
• Lead in the development of financial reports as may be required by donors.
• Provide support to teams during grant proposal writing

Organisational Learning

• As part of our commitment to organisational learning and in support of our understanding that organisational learning is more effective, efficient, and relevant to the communities they serve, we expect all team members to commit 5% of their time learning activities that benefit GrowthAid as well as themselves.

Required Skills, Knowledge & Qualifications

B. Technical Competencies:
Ability to:

• Prepare management accounts and other accounting and financial reports
• Good knowledge of Sage/Sun, QuickBooks and other relevant Accounting Software
• Ability to prepare accurate and reliable bank reconciliation report.
• Good knowledge of statutory accounting requirements
• Excellent computer skills.
• Excellent knowledge of Excel at the advanced level.

Qualification Required & Experience

• Must be a qualified Accountant (ICAG, or ACCA) and possess a relevant first degree.
• Must have a minimum of three (3) years of relevant work experience in an accounting role.

General Role Summary

The Project Officer is responsible for all actions in the project’s environment. He/she shall plan and coordinate the delivery of all actions across the project space to ensure timely implementation and efficient use of resources.

Essential Job Accountabilities
Key accountabilities

• Planning and managing the delivery of water, sanitation, hygiene services in project spaces allocated to them and be responsible for the outcomes.
• As part of the task above, prepare a consolidated work plan for water, sanitation, hygiene and NTD response services as a planning and management tool for all to use.
• Identifying and attracting skills required to implement the work plans for the year. These include, but not be limited to, specialized training in the areas of water, hygiene, sanitation services delivery. Clear examples here are WATSAN training, training on sanitation delivery approaches, etc.
• Budget management: Where applicable, the PO shall assume the responsibility of ensuring that project budgets are prepared and managed effectively in their project areas. As part of this too, the PO shall be responsible for preparing activity ToRs (including budgets) for approval and subsequent implementation.
• Field management of project teams whilst they are on the field; This relates to the delivery of specific project activities and not performance related. If people management issues arise, they should be referred to the line managers of the concerned staff.
• Monitoring, evaluation, and reporting; The PO is responsible for on-going monitoring of the project and to report on same routinely (monthly, six monthly and annually).and at weekly planning meetings as necessary. This includes the identification and documentation of human-interest stories and documentaries in close collaboration with the Communication and Visibility Officer and other technical staff as necessary.
• Be the liaison between the assigned district, communities, and organization. Nothing must happen in the district/communities without the knowledge of the PO. The PO must be up to-date with respect to what happens in the target communities and report challenges to his/her Line Manager for redress.
• Lead in the identification of successor projects (communities, schools and health care facilities) in the district and contribute to the design of new business. The continuity of this role depends on the successful design and award of a new project.
• Actively participate in the organization’s business development activities
• Any other duties as may be assigned to them by the Executive Director or Line Manager.

• A first degree in Planning, Public Health or any Social Science discipline.
• Must have a minimum of three (3) years of relevant work experience in WASH Project.
• Membership of a professional body is an advantage.
• Ability to work under pressure.
• Excellent knowledge of Ms. Microsoft Office.

Desirable

• Honesty and integrity are desired attributes in this role.
• Ability to speak at least two Ghanaian languages

General Role Summary

• The Development Communication and Visibility Officer’s primary function is to develop communications and visibility strategies and lead in the implementation of such strategies in line with the organization’s goals and vision, with the ultimate purpose of making GrowthAid the
go-to organization on WASH and NTDs for donors, policy makers and other collaborating organizations.
• He/ She will ensure that all works meet the national and organisational specifications and standards.

Essential Job Accountabilities

Communications Management

• Facilitate the creation of communications strategy, and work with other teams to set communications priorities.
• Lead in developing and roll out of visibility, communications and influencing strategies and campaigns.
• Generate content that strategically communicates programmatic work in line with the organization’s values and ensuring that updates and images used in public campaigns such as media, website articles, social media and fundraising are in line with standard requirements and regulations.
• Monitor and enforce responsible usage of information and images (photos/videos) in communications in compliance with the organizational policy with consent and usage protocols.
• Adhere to and enforce brand guidelines across programmatic communications.
• Ensure that fundraising efforts are actively and constantly supported by appropriate communications across all media outlets and publication materials of the organization.
• Develop and implement communications advocacy strategies and materials to guide/support conference participation, public speaking, and other advocacy campaign events.

Press and Media Management

• Develop appropriate materials for all media engagements/events and ensure that they are available in time to all staff and event stakeholders
• Serve as a point of contact for press and media enquiries.
• Lead in the facilitation of innovative opportunities to showcase the works of the organization.






Digital Marketing

• As applicable, provide updates and support for programme websites.
• As applicable, create, align and implement social media content in collaboration with team members.
• Ensure adherence to partnership communications requirements. Includes meeting grant and implementation partnership standards.
• Identify and carry out innovative digital marketing campaigns to accelerate brand awareness

People and Team Management and Support

• Lead in the induction of new staff on all aspects of communication and ensure that all staff are aware of their roles in ensuring effective communication within and outside the organization.
• Provide capacity building support and good supervision to team members to yield maximum results.
• Maintain good communication and conflict resolution skills among staff.
• Provide an interactive environment for team members to learn and share ideas.
• Create a participatory environment for team members.

Business Development and Fundraising

• The key function of the communications and visibility role is to support fundraising. The Communications and Visibility Officer must therefore ensure that everything that he/she does is in support of fundraising.
• Ensure that all frequently asked questions (FAQs) that fundraisers ask are available in a format that is usable, at the right place and mirrors the values of the organization.
• Participate and provide support to teams in all the fundraising value-chain activities.

• Project management skills and ability to independently multitask and prioritize
• Strong teamwork and collaboration skills; ability to work with our partners, colleagues and those we support on the field.
• Ability to adapt and work in a flexible and evolving environment
• High level of comfortability with new technologies and ability to quickly learn new tools.
• Willingness to occasionally work in a varying schedule.

Qualification Required & Experience

• Must have a minimum qualification in fields relating to Communication or Marketing, or International Relations/Development/Gender Studies complemented by work experience and possess a relevant first degree.
• Must have a minimum of three (3) years of relevant work experience in a similar role (non-profit setting with remote team structure)

General Role Summary Working closely with the Head of Operations and other staff, the Programmes Manager will support the design of programmes and lead in the delivery of WASH projects. He will lead a team of professionals in the unit that leads in delivering safe water, whilst supporting other staff in the delivery of sanitation, hygiene and NTD projects. Being a middle management role, he/she will be
a key member of the PMT and support SMT in the management of the Country Programme.

Essential Job Accountabilities

Strategy and Vision

• Demonstrate visible leadership and adherence to GrowthAid’s core values, principles and strategy.
• Support the Senior Management Team to communicate a clear vision of present and future business and financial plan of GrowthAid to team members and stakeholders that translates into concrete programme budgets and activities.
• Support in agenda-setting by prioritizing and organizing actions and resources to achieve objectives and contribute to country strategy.
• Participate in overall country level strategic planning and assist the Senior Management Team in the preparation and implementation of the Country Annual Plans.
• Perform any other official tasks as delegated or determined by the Head of Operations.

Planning and Programming

• Lead the process of programme design, implementation management of WASH programmes in collaboration with the Head of Operations and the Operations Manager.
• Provide support to fundraising efforts including identification of WASH needs and those related to NTDs at the community level.
• Supervise and monitor the implementation of programme activities, ensuring that all activities are compliant with the grant requirements.
• Ensure the tracking, monitoring and quality reporting of all activities and infrastructure interventions.
• Support preparation of concise & professionally sound donor specific project reports
• Provide leadership for regular documentation and sharing of learning, best practice, and field experiences among partners, GrowthAid’s staff and relevant sector actor/agencies.
• Prepare & develop material and special reports based on field activities for case studies and document how they impact on policy.

Team Management

• Provide technical oversight to the field teams and mentor operations team in the design of WASH activities, including rehabilitation/renovation of water and sanitation systems, solid waste management, excreta disposal, hygiene promotion and emergency water supply.
• Create and sustain a work environment of mutual respect where team members strive to achieve excellence.
• Promote accountability, communicate expectations and provide constructive feedback via regular performance reviews.
• Supervise and orient new team members as necessary.
• Provide team members with information, tools and other resources to improve performance and reach objectives.
• Contribute to country team-building efforts, help team members identify problem-solving options and ensure the integration of all team members into relevant decision-making processes.
Finance and Compliance Management
• Ensure compliance with donor and GrowthAid’s regulations related to emergency programming.
• Draft and/or review scope of work to hire and manage any technical consultants, including review for technical efficacy and contract budget.
• Ensure internal and donor compliance through a strong knowledge of rules applicable to the Ghanaian context.
• Prepare procurement plans based on project cycle for WASH/NTD and infrastructure work.
• Manage grant budget lines effectively and ensure all necessary purchase requests are accurately prepared and submitted on time.
• Ensure compliance and transparent use of resources in accordance with donor and GrowthAid’s regulations.
• Monitor adherence to grant agreements, GrowthAid policies and procedures and relevant external rules and regulations, including those of the Government of Ghana
• Effectively stay abreast with donor financial policies, procedures, rules and regulations
• Ensure documentation and filing of project activities in compliance with GrowthAid’s policies and procedures.

Representation and Advocacy

• Represent GrowthAid at external fora (government and non-government) and through that promote visibility of GrowthAid.
• Support GrowthAid’s partnership and advocacy drive
• Contribute to internal and external knowledge management both internally and externally as might be required.
• Participate in cross-learning across GrowthAid Country Programme and other sector networks

Organisational Learning

• Must have a minimum of four (4) years relevant work experience in the design and delivery of WASH programmes.
• Must have a minimum of four (4) years relevant experience in people and team management and working with consultants/contractors.
• Must be a good coach, mentor and communicator with an advanced knowledge on Microsoft Project and Microsoft Office.

• The position holder shall be responsible for ensuring that all journeys are properly and timely executed in line with organizational policies. • He/she shall manage the day-to-day logistic requirements of the organization in line with policy.

Essential Job Accountabilities

Key accountabilities

• Safely transporting staff as well as various products and materials to and from specific locations in a timely manner.
• Ensure that all journeys are properly managed and provide and maintain accurate time records of the vehicle’s trips.
• Time conscious, reliable and very punctual
• Ensure that vehicle is tidy, properly maintained and in good conditions at all times
• Ensure that vehicle insurance and road worthy is always up to date and notify management before renewal is due
• Ensure that vehicle consumables such as engine oil, water and others are frequently checked and changed when due (routine maintenance check should be timely)
• Ensure that the vehicle is always trek-ready and drive vehicle in accordance with the road safety and national regulation standards.
• Adhere to the organizations vehicle use and travel policy uniformly.

• Should have good planning and organization skills
• Should have good geographical knowledge of the working area
• Ability to relate well with members and non-members of the organization

Preference will be given to a driver who resides within or around Tema Community 25.
