1.) Business Support Assistant - Administration - SC4

Organizational Context

  • This job is found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders may either perform administrative support functions in the front office and report to the Business Support Associate, or provide administrative support to team(s) with the reporting line to the relevant Head of Unit, Chief, or the designate.
  • In cases where this position support a specific business stream, the reporting line may be to the relevant Head of Unit, Chief, or the designate.
  • At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities.

Job Purpose

  • To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

Job Functions

  • Managing Mission travel requirements in close coordination with the Area office mission planning team and IOM Hub Accommodation team.
  • Processing of Travel Authorizations (TAs/Trip Documents) in WINGS.
  • Monitor and review travel claims and supporting documentation for completeness, accuracy, reasonableness, validity, and conformity with UN Rules.
  • Assist with the issuance of Purchase Requisitions (PRs) for all non-food related services for further processing though WFP Procurement Unit.
  • Reconcile invoices against the PRs/POs and process for payment.
  • Posting of GRN/SESs and maintain a proper record of invoices.
  • Manage external hall booking for WFP events, workshops, seminar, training, etc.
  • Support in the processing of Guest House Invoicing in WINGSII.
  • Assist in maintaining information and documention in other Admin function areas and services including facilities management, travel, protocol related, etc., to contribute to the provision of a safe and comfortable working environment.
  • Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
  • Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
  • In addition to General accountabilities: Review of Travel KPIs, Vendor management, Events Management, and Contract Management, Travel planning and Projection.

Minimum Requirements

  • Education: Completion of Bachelor's Degree/HND Preferably in Administration.
  • Experience: Two or more years of progressively responsible work experience in general administrative work and travels management.

Knowledge & Skills:

  • Proficiency in the use of office equipment and computer software packages, such as Microsoft Word, Excel & PowerPoint.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Ability to identify data discrepancies and rectify problems requiring attention.

Language:

  • Spoken and written English Language is required and basic understanding of Hausa Language.

2.) Assistant Storekeeper / MSU Technician (SC3)

Organizational Context

  • These jobs are found in WFP Log Sector / warehouses and operating under close supervision of the Roving Logistics Officer and Log Sector Coordinator.

Job Purpose

  • Based on the needs identified and expressed by the humanitarian community, the Logistics Sector in Nigeria aims to facilitate access to logistics services for humanitarian actors, ensuring timely and uninterrupted supply of life-saving relief items to affected populations
  • As part of this mission, the Logistics Sector facilitates access to common storage for the humanitarian community, including for prepositioning. The Logistics Sector also assumes a coordination and information management role to maximize the use of available resources in-country, provide support and advocacy for humanitarian partners, and establish a more coordinated and cost-effective operational approach.

Reponsibilities

  • Facilitate the installation and dismantling of equipment furnished by the Logistics Sector to help fulfill its mandate, including Mobile Storage Units (MSUs) and Prefab Offices, and carry out regular field visits to support partners and hubs in the maintenance of Logistics Sector furnished equipment
  • Conduct regular inspections of the WFP furnished equipment at all locations where they are stored in Nigeria, and record and report any issues or anomalies
  • Provide record-keeping support to all hubs were Logistics Sector facilitated cargo is stored
  • Receive, Dispatch and store the equipment items as instructed
  • Update and maintain equipment tracking sheet
  • Provide support to prepare an equipment inventory report on quarterly basis
  • Follow up with the managing partners on the status of inventory and ensure proper maintenance of the inventory
  • Support field site management, including review of partner activities, conducting piece counts, and reviewing NFI activities at common storage hubs
  • Keep the equipment storage location clean and well maintained
  • Perform other duties as assigned by the supervisor.

Recruitment Qualifications

  • Education: Diploma or Bachelor’s degree. Certificate in the related functional area is an advantage
  • Work Experience: A minimum of three (3) years experience
  • Knowledge & Skills: Required knowledge in setting up and dismantling of Mobile Storage Units (MSUs) & Prefab structures
  • Language: Spoken and written English required and at least one local language (Hausa or Kanuri)

Background and Purpose of the Assignment

  • Job holders operate with a high degree of independence, are likely involved in activities and analytical work of a high complexity, and contribute to Operational Information Management and Performance Reporting improvement
  • Support all Operational Information Management and Performance Reporting (OIM & PR) activities and contribute to the establishment and presentation of standard and consistent operating picture of WFP operations and associated results that facilitate informed and timely decision-making at all levels throughout the organisation.

Key Accountabilities and Responsibilities

    • Support staff in assigned area to ensure that standard OIM & PR procedures and templates are followed to drive the quality, consistency and standardisation of information management and performance reporting across WFP
    • Collate relevant information and data from media and local internal and external sources to facilitate and maximize the exchange of information and data flow between functional area networks in WFP, to provide operational awareness and understanding of events that may have humanitarian and/or operational impact
    • Collate and assist in the dissemination of political and humanitarian analysis pertaining to WFP current or future responses and donor policies, trends and preferences to ensure country specific input to WFP’s operational reporting
    • Collate, analyse and communicate the ‘Essential Elements of Information’, pertaining to the operational environment and available human, financial and physical assets in order to facilitate access to timely and accurate information used at country, regional and corporate level
    • Contribute to the implementation and further development of the SPR Intelligent Next Generation system (SPRING). Support the preparation of Standard Project Reports (SPRs) for the Annual Reporting Exercise in collaboration with the country office programme, monitoring & evaluation, logistics and resource management functions by coordinating to ensure coherence and quality of performance information
    • Collaborate with counterparts internally and with other UN agencies to ensure consistency in humanitarian information and to complement WFP analysis and information
    • Support the enhancement of the capacity of WFP staff and partners to effectively manage operational information and performance reporting through assisting in the delivery of the OIM & PR training on core competencies

  • Guide and supervise more junior staff as required, acting as a point of referral and supporting them with more complex analysis and queries
  • Support COs or RBs in emergencies by preparing, organising and providing secretarial support to Operational Task Forces (OTFs)

Standard Minimum Qualifications & Experience Required
Education

  • Advanced University degree in Political Science, Economics, Statistics, Information Management or Journalism, Business Management, Social Sciences or other relevant field, or First University degree with additional years of related work experience and/or training / courses.

Experience

  • Typically three years or more of postgraduate professional experience in a relevant field of work, with a background and interest in international humanitarian development.

Knowledge & Skills:

  • Specialised knowledge of information management best practices, techniques and processes with some understanding of the basic theoretical background
  • Strong written and oral communication skills, including substantive analysis and report writing skills
  • Able to supervise and support more junior and/or less experienced members of the team
  • Knowledge of, or the ability to quickly assimilate, UN/WFP specific processes and systems.

Language:
Fluency (level C) in English language.
