Role & Responsibilities:
We are in search of an Adminsitrative Officer to provide adminsitrative support to the Ghana Business Unit to ensure efficient office operations.
Main Tasks comprise of below:
• Manage the Front Desk – meet and provide support to visitors.
• Responsible for internal and external catering services including daily lunch for employees, management of catering contract and food orders from external suppliers.
• Coordinate all Admin purchases including stationery, daily office supplies, groceries, and all other office consumables.
• Responsible for PPE distribution to employees and outstation offices.
• Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
• Manage courier Service including DHL and internal Dispatch services.
• Coordinate SAP – Vendor registrations and payments processing for all vendors of Admin activities.
• Support with internal events and other administrative projects and expedite work results.
• Co-ordinate travel support to employees including but not limited to booking hotels, flight, airport transfers, itinerary management, and airport protocol arrangements

Requirements
- Relevant University Degree
- Minimum of two (2) years experience in a similar role
- A positive “can do” attitude and someone who is deeply committed to admin work
- Excellent organizational and administration skills and the ability to plan and priorities own work without close supervision.
- Good interpersonal and communication skills.
- Professional manner and approach to work.
- Attention to detail and quality.
- Good writing skills with the ability to draft and edit write-up accurately, produce summaries and compose own documentation.
- Experience of organizing administrative aspects of meetings, workshops, and events with limited support.
- Aware of the need for appropriate levels of confidentiality and ability to ensure these levels are maintained.
- Self-motivated, proactive and flexible and able to make judgements.
- Eagerness to take on new and complex work and excellent time management skills.
- Highly computer literate and confident with Word, PowerPoint, Outlook, and Excel
- Good team player
- Ability to work occasionally outside normal hours to meet immediate deadlines
