1.) Fleet Clerk

Job Title: Fleet Clerk

Job Schedule Full time

Key Purpose of this Role

  • The key purpose of this role is to perform stock count, spares management, record keeping, assist with procure to pay process on the system. Ensure proper and timely jobs are implemented on FMS App.

Key Outputs and Responsibilities
Fleet maintenance / Record Keeping:

  • To ensure the vehicles are always maintained as per standard and records of maintenance properly logged in on FMS.
  • Keep historical data of all maintenance jobs done for all fleet
  • Use the FMS app to create job cards for fleet Maintenance
  • Full implementation and adherence to VPO and DPO process
  • Tracking of Documents on FMS and renewal is done before expiration

Adherence to health, safety, and environmental standards:

  • To ensure that company regulations are adhered to around the workplace and inspections are done also for the workshop
  • Educating the Technical team on the safety policies
  • Adherence to and maintenance of site housekeeping standards
  • Wearing the correct PPE at all times as designated by site and area
  • Full implementation and adherence to VPO and DPO process

Inventory management:

  • Expense of Stock items on the system
  • Accurate weekly stock counts, duly signed off
  • Participate in Monthly Stock counts
  • Maintain clear and effective communication with Fleet Supervisor on any stock related issues

Vendor payment:

  • Raise approved quotation as PR
  • Follow up/track the approval process and stages to ensure it is timely
  • Ensure timely delivery of goods as per PO details

Inventory management:

  • Expense of Stock items on the system
  • Accurate weekly stock counts, duly signed off
  • Participate in Monthly Stock counts
  • Maintain clear and effective communication with Fleet Supervisor on any stock related issues

Report:

  • To ensure pre-trip inspection are captured daily on FMS and analyse data
  • To ensure pre-shift inspection are captured daily on forklift
  • Daily Maintenance records are sent to the appropriate persons timely
  • On time submission of any DPO related reports and requirements, such as reporting of SIO’s.
  • Captures actions generated in fleet meetings and follow up on Closure

Profile

  • Degree Qualification
  • Minimum of 3 years in related Industry
  • Numeracy and literacy skills
  • Fluent in English
  • Verbal and written communication skills
  • Ability to work under pressure
  • Ability to adapt to change effectively
  • Computer literate – proficiency in Microsoft Office and Word
